License Feature Flags

Your ProPay license controls which optional modules are available in your installation. Certain features — such as client billing, job costing, workers' compensation reporting, custom reports, and electronic tax filing — are enabled or disabled based on your license. These settings are managed by Paysoft and are updated automatically when you renew or upgrade your license.

How License Flags Work

ProPay reads your license data at startup and enables or disables optional modules based on your license level. You cannot change these settings manually — they are controlled by Paysoft through the license file.

When a feature is disabled by your license:

  • The corresponding menu items are hidden or grayed out
  • The option simply does not appear — ProPay does not display an error message

Licensed Features

The following features require license authorization:

EFTPS Electronic Filing Electronic federal tax payment submissions via EFTPS
Client Billing The billing module for invoicing clients for payroll services. Access via Client Functions > Billing.
Job Costing Job costing module for tracking labor costs by job or project
Workers' Compensation Workers' compensation reports and insurance carrier exports. Access via Employer > Exports > W/C Insurance.
Custom Reports The ProPay Report Writer for creating custom report layouts
Electronic 941 Filing Electronic filing of Form 941 quarterly federal tax returns
State Magnetic Media Electronic filing of state tax reports and W-2s

> Note: Core payroll features — employee management, paycheck processing, direct deposits, standard reports, and tax form printing — are included in all ProPay licenses. The features listed above are add-on modules available with certain license levels.

Checking Your License Level

To see when your license expires:

  1. Go to Utilities > License Information/Updating on the ProPay Main Menu.
  2. The license dialog shows your current license status, expiration date, and licensed client count.

To determine which optional modules are included in your license, check whether the corresponding menu items appear. For example:

  • If Billing appears under Client Functions, client billing is licensed
  • If W/C Insurance appears under Employer > Exports, workers' compensation is licensed

Upgrading Your License

To add optional modules to your ProPay license:

  1. Contact Paysoft support at [email protected] to purchase the module.
  2. After Paysoft updates your license, go to Utilities > License Information/Updating.
  3. Follow the on-screen prompts to download the updated license.
  4. Restart ProPay. The new features appear in the menus.

> Tip: If you recently purchased an upgrade but do not see the new features, run Utilities > License Information/Updating again and restart ProPay. License changes take effect only after downloading the updated license file.

Tips and Warnings

> Warning: Do not attempt to modify license files manually. The license data is encrypted, and tampering will disable your ProPay installation.

> Tip: If a menu option you expect to see is missing, check with Paysoft support to confirm your license includes that module before troubleshooting other causes.
