Converting Direct Deposits to Paper Checks
When direct deposit issues occur, you may need to issue paper checks instead. This can be done for an entire payroll or for individual employees.
For an Entire Payroll
If the entire direct deposit file is rejected by your ACH processor and you need to issue paper checks for everyone:
- Go to Employer > Employer Setup > Screen 4.
- Uncheck the Employee Direct Deposits box.
- Click Save.
- Go to Paychecks > Print Payroll Checks.
- Select All Employees.
- Print all checks.
This prints paper checks for all employees, including those who were set up for direct deposit.
Restoring Direct Deposits
After the issue is resolved:
- Return to Employer Setup > Screen 4.
- Check the Employee Direct Deposits box.
- Click Save.
For a Single Employee
If one employee's direct deposit was rejected and you need to issue a paper check only for that employee:
- Go to Employees > Change Employee and select the employee.
- Click Direct Deposits.
- Change the % and Amount fields to 0.00 (zero).
- Click Save.
- Go to Paychecks > Void Payroll Checks.
- Void the employee's paycheck.
- Go to Paychecks > New Payroll.
- Re-enter the paycheck under the same pay date.
- Go to Paychecks > Print Payroll Checks.
- Select Selected Employees.
- Double-click the employee's name.
- Print the paper check.
Restoring Direct Deposits for the Employee
After the issue is resolved:
- Return to the employee's Direct Deposits setup.
- Re-enter the correct percentage and/or amount.
- Click Save.
