Select Specific Printer Tray

Overview

You can configure ProPay to use specific printer trays (upper, lower, or manual feed) for different types of documents.

Solution

Step 1: Add a second printer configuration

  1. Open Control Panel > Printers
  2. Locate the printer you're currently using for checks with ProPay
  3. Click Add Printer
  4. Add a second printer using the same printer driver as your existing printer

Step 2: Configure the new printer for a specific tray

  1. Right-click the newly installed printer
  2. Select Properties
  3. Locate the paper tray settings (varies by printer model)
  4. Select the desired default tray:
    • Upper tray
    • Lower tray
    • Manual feed tray
    1. Print a test page to verify paper comes from the correct tray

    Step 3: Assign the printer in ProPay

    1. Start ProPay
    2. Go to Client Functions > Setup > System Setup > Tab 3 (Printers)
    3. Select the newly installed printer as:
      • Check printer (for payroll checks)
      • Reports printer (for reports and forms)

      Use Cases

      This technique allows you to:

      • Use check stock from one tray and plain paper from another
      • Dedicate a manual feed tray for special forms
      • Keep different paper types loaded in different trays
      • Avoid manually switching paper for different ProPay functions

      Tips

      • Create multiple printer configurations for different paper types
      • Use descriptive names like "HP LaserJet - Check Tray" and "HP LaserJet - Plain Paper"
      • Test each configuration thoroughly before production use
      • The same procedure works for both check printers and report printers
