Client Groups
Overview
Separating clients into groups can help speed up various tasks in ProPay. Groups allow you to organize clients by shared characteristics and process them together.
Accessing Client Groups
To access this menu option, click Client Functions > Manage Groups.
Creating and Using Groups
Example 1: State-Based Groups
Scenario: You wish to print tax forms for clients in a specific state such as NY.
Steps:
- Create a group called "NY Clients"
- Add members by attaching clients to that group
- When you print tax forms, select "NY Clients" from the pick list
- The program automatically places red check marks on all members of this group
Example 2: Locality-Based Groups
Scenario: You wish to print tax forms for clients in a specific locality.
Steps:
- Create a group called "LOCALITY-A"
- Add members by attaching clients to that group
- When you print tax forms, select "LOCALITY-A Clients" from the pick list
- The program automatically places red check marks on all members of this group
Example 3: Frequency-Based Groups
Scenario: You wish to bill weekly clients separately.
Steps:
- Create a group called "WEEKLY Clients"
- Add members by attaching clients to that group
- When you print statements, select "WEEKLY Clients" from the pick list
- The program automatically places red check marks on all members of this group
Unlimited Flexibility
The uses of this feature are unlimited. You can create groups based on:
- Geographic location (state, city, locality)
- Payroll frequency (weekly, biweekly, monthly)
- Industry type
- Service level
- Billing arrangements
- Any other criteria relevant to your practice
Groups help you organize your client base and process similar clients efficiently.
