Cannot Find File Xxxxxx.tax

Problem

You receive an error message stating:

"Cannot find the file XXXXXX.TAX"

where XXXXXX is the name of a tax form (e.g., FED941.TAX, W2.TAX, etc.).

This error appears when attempting to print a specific tax form.

Cause

Tax forms in ProPay require two files to print correctly:

  1. XXXXXX.TAX - Contains the data/information to be printed on the form
  2. XXXXXX.WMF - Contains the form overlay (the visual layout)

If the `.TAX` file is missing, it was likely not installed correctly during installation or became corrupted.

Solution

The missing file is typically included in the TAXFORMS.ZIP archive in your ProPay folder.

Method 1: Extract tax forms using ProPay (recommended)

  1. Go to Utilities menu in ProPay.
  2. Select Extract Tax Forms (if available in your version).
  3. Click OK to extract all tax form files.
  4. Try printing the tax form again.

Method 2: Extract manually using Windows

For Windows 10/11:

  1. Open Windows Explorer (File Explorer).
  2. Go to your ProPay folder:
    • Typically: C:\PAYSOFT\PROPAY26
    1. Locate the file TAXFORMS.ZIP.
    2. Right-click TAXFORMS.ZIP.
    3. Select Extract All.
    4. Choose to extract to the current folder (C:\PAYSOFT\PROPAY26).
    5. Click Extract.
    6. Try printing the tax form again.

    Method 3: Extract using command line

    1. Click Start > Run (or press Windows Key + R).
    2. Type the following command:

    _CODE_BLOCK_0_

    • Replace C: with your actual drive letter if ProPay is on a different drive
    • Replace PROPAY26 with your actual ProPay folder name if different
    1. Press Enter.
    2. The tax form files will be extracted.
    3. Try printing the tax form again.

    Verify the Extraction

    After extracting, verify the files are present:

    1. Open Windows Explorer.
    2. Go to your ProPay folder.
    3. Look for files ending in .TAX and .WMF.
    4. You should see files like:
      • FED941.TAX, FED941.WMF
      • FED940.TAX, FED940.WMF
      • W2.TAX, W2.WMF
      • And other tax form files

      Alternative: Reinstall or Update ProPay

      If the TAXFORMS.ZIP file is missing or damaged:

      1. Download the latest version of ProPay:
        • Go to Utilities > Download the Latest Version of ProPay on the ProPay Main Menu.
        • Or download from the Paysoft website.
        1. Install the update.
        2. The installation will replace missing or corrupted tax form files.
        3. Try printing the tax form again.

        Federal forms:

        • FED941.TAX / FED941.WMF (Form 941)

        3. Keep ProPay updated - Install updates to ensure you have current tax forms
        4. Antivirus exclusions - Add ProPay folder to antivirus exclusions to prevent file quarantine
        5. Regular backups - Backup the entire ProPay folder periodically

        Network Installations

        For network installations, verify:

        1. All workstations can access the server folder
        2. Users have read/write permissions to the ProPay folder
        3. The tax form files exist on the server
        4. Network connections are stable

        If the problem persists after extracting tax forms:

        1. Verify the specific tax form file name from the error message
        2. Check if both the .TAX and .WMF files exist
        3. Contact Paysoft support with:
