System Requirements for ProPay WEB

ProPay WEB requires specific hardware, software, and network infrastructure to function properly. Review these requirements carefully before setting up ProPay WEB.

Server PC Requirements

Operating System

ProPay WEB requires a Windows operating system that includes IIS (Internet Information Services). Supported operating systems include:

Windows Server Editions

  • Windows Server 2022
  • Windows Server 2019
  • Windows Server 2016
  • Windows Server 2012 R2
  • Windows Server 2012
  • Windows Server 2008 R2
  • Windows Server 2008
  • Windows Server 2003
  • Windows Small Business Server

Windows Professional Editions

  • Windows 11 Professional
  • Windows 10 Professional
  • Windows 8.1 Professional
  • Windows 8 Professional
  • Windows 7 Professional

> Important: Windows Home editions (Windows 7 Home, Windows 10 Home, Windows 11 Home) do NOT support IIS and cannot be used for ProPay WEB.

IIS Version

The server must have IIS 7.0 or later installed. IIS is a free Windows component that comes with your operating system.

ProPay WEB and IIS MUST be installed and configured on the same PC where ProPay is installed.

Hardware Specifications

Minimum Requirements

  • Processor: 2.0 GHz dual-core
  • RAM: 4 GB
  • Hard Drive: 100 GB available space
  • Network: Gigabit Ethernet adapter

Recommended for Multiple Clients

  • Processor: 2.5 GHz quad-core or better
  • RAM: 8 GB or more
  • Hard Drive: 250 GB available space or more
  • Network: Gigabit Ethernet adapter
  • RAID configuration for data protection

Server Configuration

Dedicated Server Recommended Use a stand-alone PC dedicated to run as a file/web server. This PC should:

  • Run ProPay and ProPay WEB exclusively
  • Not be used as a workstation during business hours
  • Remain powered on 24/7 for client access
  • Have reliable backup power (UPS recommended)

> Important: You should not have users working on the server PC while clients are connected via the internet and entering payroll.

Internet Connection Requirements

Broadband Connection Required

ProPay WEB requires a high-speed broadband internet connection with sufficient upstream bandwidth.

Minimum Connection

  • Type: DSL or Cable
  • Downstream: 5 Mbps
  • Upstream: 3 Mbps

Recommended Connection

  • Type: DSL, Cable, or T1
  • Downstream: 25 Mbps or faster
  • Upstream: 3 Mbps or faster

Static IP Address Required

You must have at least one static IP address from your Internet Service Provider (ISP).

A static IP address:

  • Does not change when you restart your router or modem
  • Allows clients to reliably connect to your server
  • Is required for domain name configuration

How to Check Your IP Address

  1. Visit https://whatismyip.com in your browser
  2. Note the IP address displayed
  3. Contact your ISP to confirm whether this is a static or dynamic IP address

> Note: If you have a dynamic IP address that changes periodically, you must upgrade your internet service to include a static IP address before using ProPay WEB.

ISP Information You Need

Contact your ISP and obtain the following information:

  • Static IP address (e.g., 208.57.66.39)
  • Subnet mask (e.g., 255.255.255.0)
  • Default gateway (e.g., 208.57.66.1)
  • DNS server addresses (primary and secondary)

You will need this information when configuring your server's network settings.

Network Equipment Requirements

Router with Firewall

A router with built-in firewall is required if you share your internet connection over a network of computers. Most office networks already have a router/firewall installed.

Router Requirements

  • Support for port forwarding (also called port mapping)
  • Built-in firewall capabilities
  • Administrative access (username and password)
  • Static route configuration support

Recommended Router Brands

  • Cisco
  • Linksys (business models)
  • Netgear (business models)
  • SonicWall
  • Fortinet

> Note: Consumer-grade "off the shelf" routers from retail stores are designed for home networks and may not provide adequate security or performance for business use.

Network Infrastructure

Wired Network Recommended

  • Gigabit Ethernet switches
  • Cat5e or Cat6 cabling
  • Dedicated network port for server

Wireless Not Recommended While ProPay WEB can function on wireless networks, a wired connection provides:

  • Better security
  • More reliable connectivity
  • Higher bandwidth
  • Lower latency

Domain Name Requirements

Domain Name

You need a registered domain name that points to your server's static IP address.

Example Domain Names

  • payroll.yourcpaoffice.com

Domain Registrars If you don't have a domain name, you can register one through:

Subdomain Name Recommended

Create a subdomain specifically for ProPay WEB to separate it from your main website.

Example Subdomains

  • online.yourpayrollservice.com
  • payroll.yourcompanyname.com
  • webpay.yourcpaoffice.com

The subdomain should point to your server's static IP address. Contact your domain hosting company for assistance creating a subdomain and configuring DNS records.

Security Requirements

Firewall Configuration

Your router's firewall must:

  • Allow incoming traffic on port 80 (HTTP)
  • Allow incoming traffic on port 443 (HTTPS) if using SSL
  • Block all other unnecessary incoming ports
  • Support port forwarding to your server

Windows Firewall

Windows Firewall on your server must:

  • Allow IIS web traffic on port 80
  • Allow HTTPS traffic on port 443 if using SSL
  • Block all other unnecessary incoming connections

Antivirus Software

Install and maintain antivirus software on your server:

  • Keep virus definitions updated
  • Configure scheduled scans
  • Exclude ProPay database files from real-time scanning to avoid performance issues

SSL Certificate (Optional but Recommended)

An SSL certificate enables HTTPS connections, encrypting all data between clients and your server.

Benefits of SSL

  • Encrypts sensitive payroll data during transmission
  • Prevents password interception
  • Shows "secure" padlock in client browsers
  • Required for PCI compliance if processing credit cards
  • Improves client confidence

SSL Certificate Options

  • Purchase from a trusted certificate authority (CA)
  • Use Let's Encrypt for free certificates
  • Self-signed certificates (not recommended for production)

ProPay Software Requirements

ProPay Installation

  • ProPay desktop software must be installed on the server
  • ProPay database must reside on the same PC as ProPay WEB
  • All ProPay updates should be current
  • ProPay WEB add-on must be purchased and installed by Paysoft

Database Considerations

Backup Strategy

  • Daily automated backups to external drive or network location
  • Weekly full system backups
  • Test backup restoration regularly

Database Size Monitor available disk space. As your client base grows, the database will require more storage.

Administrator Requirements

Technical Knowledge

The person setting up ProPay WEB should have:

  • Basic networking knowledge
  • Windows server administration experience
  • Understanding of TCP/IP, DNS, and routing
  • Ability to configure router settings
  • Familiarity with IIS administration

Access Requirements

You will need administrative access to:

  • The server PC (administrator account)
  • Your router (username and password)
  • Your domain registrar account
  • Your ISP account information
