ProPay Web Documentation

This directory contains optimized documentation for the ProPay WEB section, completely rewritten from the original CHM source files.

Overview

ProPay WEB is a web-based payroll access system that allows clients to submit payroll and access reports online through a browser. After Phase 4 consolidation (31 to ~20 topics), these topics cover everything from setup to troubleshooting.

  • Source: Original CHM files (21 MISSING-GW topics identified)
  • Completion: 81% of identified MISSING-GW topics (17 of 21)

Content Quality

  • Modernized terminology: Updated "Pro-Pay WEB" to "ProPay WEB" throughout
  • Removed outdated references: Flagged/updated Windows Vista, Server 2008 references
  • Professional voice: Consistent second-person, active voice

Fixed Issues

  1. pro-pay_web.html - Was a placeholder ("Enter topic text here"), created comprehensive overview
  2. Terminology standardization - "Pro-Pay WEB" → "ProPay WEB" throughout
  3. Outdated OS references - Flagged Windows Vista, Server 2008; added modern versions
  4. Broken formatting - Tables, lists, and procedures reformatted for clarity
  5. Unclear navigation - Added clear section structure and related topics links

Enhanced Content

  1. Security guidance - Added best practices for passwords, access control, HTTPS
  2. Troubleshooting expanded - Added diagnostic steps, preventive maintenance
  3. Mobile support - Added mobile browser guidance (not in original)
  4. Client communication - Added sample emails, quick reference cards
  5. Modern browsers - Updated browser recommendations (Chrome, Edge, modern Firefox)

Files Deleted During Consolidation (Phase 4, Sprint 4)

These files were merged into the topics listed above and then deleted:

  • `propay-web-overview.md` (merged into overview.md)
  • `what-is-propay-web.md` (merged into overview.md)
  • `propay-web-requirements.md` (subset of system-requirements.md)
  • `router-configuration.md` (merged into router-firewall-config.md)
  • `router-firewall-setup.md` (merged into router-firewall-config.md)
  • `static-ip-address.md` (subset of static-ip-setup.md)
  • `ssl-certificate.md` (merged into ssl-certificate-setup.md)
  • `employee-self-service.md` (merged into employee-portal.md)
  • `propay-web-update.md` (subset of updating-propay-web.md)
  • `troubleshooting.md` (merged into troubleshooting-connections.md)
  • `user-management.md` (content already in employer/processor-user-management.md)

Cross-references

Topics reference each other extensively. When integrating into a help system:

  • Verify all internal links resolve correctly
  • Update references to CHM topics if those are rewritten
  • Maintain bidirectional linking for related topics

Style Compliance

All topics follow the style guide:

  • Voice: Professional, direct, second person
  • Tense: Present tense for instructions
  • Sentences: 15-20 words average
  • Paragraphs: 3-5 sentences maximum
  • Procedures: One action per step, action verb starts
  • UI elements: Bold formatting
  • Product names: ProPay, Paysoft, ProClock (correct capitalization)
