Cannot Find Direct Deposit File

Problem

You cannot find your direct deposit text file to send to the bank.

Understanding the File Name

ProPay creates direct deposit files with a specific naming convention:

Format: `CCCCMMDD.TXT`

Where:

  • CCCC = Your four-character client ID with Paysoft
  • MM = Two-digit month
  • DD = Two-digit day

Example: `58260922.TXT`

  • Client ID: 5826
  • Created on: September 22 (09/22)

Make a note of the filename displayed in ProPay when you create the direct deposit file.

Solution

Method 1: Use Windows search

  1. Click Start > Search (or press Windows Key + F).
  2. Type the filename (e.g., 58260922.TXT).
  3. Select to search in This PC or your ProPay drive.
  4. Click Search.
  5. Windows will locate the file and show its location.
  6. Note the file path for future reference.

Method 2: Go to ProPay folder

The direct deposit file is created in your ProPay working folder.

  1. Open Windows Explorer (File Explorer).
  2. Go to your ProPay folder:
    • Typically: C:\PAYSOFT\PROPAY26
    • Or the drive and folder where ProPay is installed
    1. Look for the file with your filename (e.g., 58260922.TXT).
    2. Right-click the file and select Copy.
    3. Go to your preferred location (desktop, USB drive, email).
    4. Right-click and select Paste.

    Method 3: Use Command Prompt (advanced)

    If you're comfortable with command-line tools:

    1. Click Start > Run (or press Windows Key + R).
    2. Type cmd and press Enter.
    3. Change to your ProPay drive if different from C:

    _CODE_BLOCK_0_ (Press Enter. Replace F: with your ProPay drive letter.)

    1. Go to the ProPay folder:

    _CODE_BLOCK_1_ (Press Enter.)

    1. List all TXT files:

    _CODE_BLOCK_2_ (Press Enter. This shows all text files in the folder.)

    1. To view the file contents:

    _CODE_BLOCK_3_ (Press Enter. Replace filename with your actual filename.)

    1. To open the file in Notepad:

    _CODE_BLOCK_4_ (Press Enter. Replace filename with your actual filename.)

    Default File Location

    Unless you've specified a different location, direct deposit files are created in:

    Windows 10/11:

    • `C:\PAYSOFT\PROPAY26\` (or your installation drive)

    Network installations:

    • The server folder where ProPay is installed
    • Example: `F:\PAYSOFT\PROPAY26\`

    Transmitting the File

    Once you've located the file, you can transmit it to your bank using their preferred method:

    Method 1: Upload through bank website

    1. Log in to your bank's ACH portal
    2. Go to the file upload section
    3. Browse to the file location
    4. Upload the `.TXT` file

    Method 2: Email to bank

    1. Open your email program
    2. Create a new email to your bank's ACH email address
    3. Attach the `.TXT` file
    4. Include any required information in the email body
    5. Send

    Method 3: Bank software import

    1. Open your bank's ACH software
    2. Select the import or batch file option
    3. Browse to the file location
    4. Select and import the `.TXT` file

    File Security

    Important security considerations:

    • Direct deposit files contain sensitive banking information
    • Delete the file after successful transmission
    • Don't email unencrypted files unless your bank specifically requires it
    • Use secure file transfer methods when available
    • Keep backup copies in secure locations only

    Creating a Shortcut to ProPay Folder

    To make it easier to find direct deposit files in the future:

    1. Open Windows Explorer.
    2. Go to your ProPay folder (e.g., C:\PAYSOFT\PROPAY26).
    3. Right-click the folder.
    4. Select Send to > Desktop (create shortcut).
    5. You now have a desktop shortcut for quick access.

    Or create a favorite:

    1. In Windows Explorer, go to the ProPay folder.
    2. Drag the folder to Quick Access in the left pane.
    3. The folder is now pinned for easy access.
