Other Pay
Overview
Use the Other Pay screen to enter less common pay types that don't appear on the regular paycheck entry screen. This screen provides access to additional pay categories like bonus pay, vacation, sick pay, holiday pay, and fringe benefits.
Accessing Other Pay
From the regular Paycheck screen, click Other Pay.
Important: Use the Enter key to advance through this screen. When you reach the "Done (Y)es" prompt, press Enter to return to the payroll entry screen.
Note: For clients set up with Job Costing, the Other Pay screen becomes the default payroll entry screen.
Pay Types Available
Rates 2-7
User-defined pay rates with customizable descriptions.
Customization: Change the descriptions in Employer Setup (Screen 2) to match your needs:
- Bonus Pay
- Commissions
- Shift Differential
- Training Rate
- Any other description
Other Pay
Enter any occasional pay items with a user-defined description.
Common uses:
- Christmas bonus
- Retroactive pay
- Overtime on Rate 2 or Rate 3
- One-time payments
Sick Pay
Enter hours or amount for sick time taken.
Tax treatment: Sick pay is subject to taxes according to IRS Publication 15 (Circular E).
Vacation Pay
Enter hours or amount for vacation time taken.
Tax treatment: Vacation pay is subject to all taxes.
Important tip: When employees work during their vacation time, they receive double pay. Recommend that clients split this into two separate paychecks instead of one. A separate vacation check results in:
- Higher overall net pay to the employee
- More equitable tax withholding
Holiday Pay
Enter pay for holidays when the employee did not work but receives payment.
Example: Paid time off for Thanksgiving, Christmas, or other company holidays.
Non-Cash Fringe
Enter the taxable value of non-cash compensation provided to employees.
Examples:
- Value of tangible property given to the employee
- Taxable free room and board
- Personal use of a company vehicle
- Other fringe benefits
Double Time
Enter hours paid at double the regular pay rate (2x regular rate).
Calculation: ProPay automatically calculates double time at two times the employee's regular pay rate.
Standard Pay Types on This Screen
You can also enter these standard pay types from the Other Pay screen:
- Regular Pay
- Overtime
- Tips
- Meals
Note: In most cases, these items are entered more efficiently from the main Paycheck screen.
Important Warning
Duplicate pay type entries: If you enter the same pay type more than once, the latest pay rate entered will override the previous pay rate.
Example:
- Enter 5 hours overtime at $10 per hour
- Then enter another 5 hours overtime at $15 per hour
- Result: ProPay calculates 10 hours overtime at $15 per hour
Why this happens: The database has one field for units and one field for pay rate per employee. The most recent entry overwrites the previous entry.
Finishing Other Pay Entry
When you've finished entering all pay items:
- Click Done, or press Enter to return to the regular Paycheck screen
- Verify all information is correct
- Click Accept to save the paycheck
