Importing ProPay Web Payroll Files

Import payroll hours submitted by clients through ProPay Web, eliminating manual data entry and reducing errors.

What ProPay Web Is

ProPay Web is a web-based interface that allows clients to view and edit employee records, enter payroll hours, and access reports through a standard web browser. Clients need no software installation and can access the system from anywhere.

How ProPay Web Works

After Paysoft installs ProPay Web at your location, clients access the system through a URL such as:

  • www.yourpayrollservice.com
  • online.yourpayrollservice.com

Clients log in through their web browser and enter payroll information. When ready, they click Submit Payroll to send the data to your server.

Importing Submitted Payroll

To import payroll hours submitted through ProPay Web:

  1. Go to Imports from the main ProPay menu.
  2. Select Import Web Pay files.
  3. View the list of clients who have submitted payroll.
  4. Select the company name.
  5. Click Select.

ProPay automatically imports all hours and salaries, calculates taxes and deductions, and updates year-to-date files for all employees. The process typically takes 1-2 minutes.

After Importing

Once you import the payroll:

  1. The hours and calculations appear in the payroll system.
  2. You can review totals and make any necessary adjustments.
  3. Print checks and reports as normal.
  4. The client can immediately access updated reports through ProPay Web.

No additional data entry is required. The system processes everything automatically.

What Clients Can Access

ProPay Web is designed to give clients controlled access to necessary functions:

Clients can:

  • Enter payroll hours and salaries
  • Add new employees
  • Change pay rates
  • Update addresses and Social Security numbers
  • View and print reports

Clients cannot:

  • Change employer ID numbers
  • Modify tax rates
  • Alter company tax filing specifications
  • Access other critical company settings

Setup Requirements

To use ProPay Web:

  1. Purchase a ProPay Web license from Paysoft.
  2. Schedule installation at your location.
  3. Paysoft sets up the web server and configures access.
  4. Configure client accounts and permissions.
  5. Provide clients with login credentials and URL.
