Web Payroll Data Import
[NEEDS-REVIEW]: The Code-Documentation shows this feature's data table with payroll data fields (employee number, hours, pay rates, deductions) rather than text customization fields. The table was added January 2026. No management UI or editor function was found in the Code-Documentation. This article is drafted as a web payroll data import staging table, which matches the field structure. The developer should confirm the actual purpose before publishing.
[NEEDS-REVIEW — Filename/Title Alignment]: The current filename is `web-text-customization.md` but the H1 is "Web Payroll Data Import." After developer confirmation: if this IS a payroll import staging table, rename the file to `web-payroll-import.md`. If it IS text customization, update the H1 and content to match.
Overview
ProPay WEB can receive payroll data from employer web portals through a per-client import staging table. When employers enter hours and pay data through ProPay WEB, this table stores the submitted data before it is imported into the main payroll system. Each client has their own import table, created automatically when the client is set up.
[NEEDS-REVIEW — This description is based on the field structure found in Code-Documentation. The actual workflow for how data moves from the web portal to this staging table and into payroll processing is not documented in the Code-Documentation.]
How It Works
- An employer logs into ProPay WEB and enters payroll data (hours, pay amounts, deductions).
- The submitted data is stored in the client's staging table.
- The payroll processor opens ProPay desktop and imports the web-submitted data into the current payroll.
Data Fields in the Import Table
The import table stores a complete set of payroll data for each employee submission:
| Category | Fields |
|---|---|
| Employee identification | Employee number, name, SSN |
| Pay period | Pay date, period begin date, period end date |
| Hours | Regular hours, overtime hours, double-time hours, custom units (3-8) |
| Pay amounts | Regular pay, overtime pay, double-time pay, custom pay (3-8) |
| Additional pay | Tips, meals, non-cash fringe, vacation pay, holiday pay, sick pay, other pay |
| Hours tracking | Vacation hours, holiday hours, sick hours |
| Deductions | Deduction amounts 1-18 |
Per-Client Tables
Each payroll client has their own import table. The table is created automatically when you add a new client in ProPay. You do not need to create or configure it manually.
Tips and Warnings
> Note: This table is managed internally by ProPay. You do not edit it directly. Data flows from ProPay WEB to this table automatically.
> Tip: If you need to re-import web-submitted payroll data, contact Paysoft support for the correct procedure.
[NEEDS-REVIEW — No menu path or management UI was found in the Code-Documentation for this feature. The table may be accessed indirectly through ProPay WEB's import process rather than through a dedicated ProPay desktop screen.]
