Password Configuration

Note: Use of passwords is optional. In many cases, when only one person uses the payroll program, passwords may not be needed. If that is the case, leave the password entry fields in System Setup blank. However, if multiple people have access to the payroll files, passwords should be used.

Password Levels

ProPay offers three levels of password protection:

First Level - Log In Password

This password controls entry into the payroll program. It may only be changed by someone with access to the supervisor password.

Second Level - User Password

This password is assigned to payroll data entry personnel to allow access to specific program operations. These operations include:

  • Deleting previously issued paychecks
  • Making entries with pay dates prior to the last pay date
  • Other operations that affect payroll file integrity

Because these operations require caution and affect file integrity, access should be limited. A supervisor can change this password.

Third Level - Supervisor Password

This password is entered in the System Setup screen during initial program installation. It provides access to critical program areas, including:

  • Altering other users' passwords
  • Updating tax tables
  • Other system-wide settings

Paycheck Messages

Type a Message to Appear on Employee Paychecks

Any text entered in this field will appear on all employee paychecks or pay stubs for all clients.

Paycheck Line-1

Any text entered here will appear on all employee paychecks in small print.

Example: "Payrolls by John Doe CPA 999-888-7777"

Sub Lines 1 & 2

Any text entered here will appear on all employee pay stubs.

Example: "Quick Refunds on Tax Returns by John Doe CPA 999-888-7777"
