Post A/R Checks
Overview
ProPay can automatically generate checks payable to you (the payroll processor) as one method of collecting payment for payroll services. This topic explains how to post these checks to client accounts when you receive them.
How IT Works
When you enable this billing method in Employer Setup (Page 4), ProPay:
- Prints an extra check for your fees each time you print payroll checks for the client
- Stores the check information in a separate tracking file
- Waits for you to post the checks once you receive them from clients
The check amount also appears on the Summary Statement and is included in the amount the employer must deduct from their checkbook.
Posting Checks
Access the Post Checks menu
Click Client Functions > Billing > Bill Collection > Post Client Checks Received.
Available options
Tag Payments
- Double-click any payment you want to post
- You can tag multiple payments to post them together
Post Checks
- Click the Post Checks button.
- Enter the posting date when prompted.
- This date appears in the client's ledger as the date payment was received.
Delete Checks
- Delete checks that were lost or never returned by the client
- Warning: Deleted checks cannot be recovered from this menu
- If you accidentally delete a check, you can manually enter the payment through Billing > Payments/Charges
Report
- Print a hard copy report of pending checks if needed
