The update process is fully automated. ProPay handles all file downloads, decompression, and installation automatically.

Verifying the Update

After the update completes:

  1. Check the ProPay WEB version number in the system.
  2. Test ProPay WEB access from a web browser.
  3. Verify clients can still log in and access their data.

Best Practices

Schedule regular updates

  • Set a monthly reminder to check for updates
  • Choose a time when client usage is low
  • Allow 15-30 minutes for the update process

Notify clients

If the update requires server downtime:

  1. Notify clients 24-48 hours in advance
  2. Provide a specific time window
  3. Confirm when the system is back online

Test after updating

After each update:

  • Test administrator login
  • Test client login
  • Verify reports display correctly
  • Check payroll submission functionality

Troubleshooting Updates

Update fails to download

Check:

  • Server has active internet connection
  • Firewall allows ProPay to access Paysoft's FTP server
  • Sufficient disk space on server
  • Try again during off-peak hours

Update downloads but doesn't install

Verify:

  • You logged in with administrative privileges
  • No ProPay WEB users are currently logged in
  • IIS can be temporarily stopped for the update
  • Antivirus is not blocking the installation

ProPay WEB doesn't work after update

Try:

  1. Restart IIS:
    • Open Internet Information Services (IIS) Manager
    • Right-click the server name
    • Select Stop
    • Wait 5 seconds
    • Right-click the server name again
    • Select Start
    1. Reboot the server if IIS restart doesn't resolve the issue
    2. Contact Paysoft support if problems persist

    Updates From Workstations

    > Note: Although you can execute the update from any workstation on your network, the installation may not always complete successfully.

Recommendation: Always run updates directly from the server desktop for best results.

    Why update from the server?

    • Ensures proper file permissions
    • Avoids network-related installation issues
    • Provides better error visibility
    • Reduces chances of incomplete installation

    Getting Update Notifications

    Check with Paysoft about:

    • Email notifications for new updates
    • Update release notes
    • Critical security updates
    • Planned maintenance schedules

    Emergency Updates

If Paysoft notifies you of a critical security update:

    1. Apply the update as soon as possible
    2. Don't wait for your regular monthly update schedule
    3. Follow the same update process described above
    4. Notify clients if downtime is required

    Version Tracking

Keep a log of your updates:

Date Version Before Version After Notes
    2024-01-15 2.1.5 2.1.8 Regular monthly update
    2024-02-01 2.1.8 2.2.0 Security patch

    This helps you:

    • Track update history
    • Troubleshoot issues
    • Verify compliance
    • Support Paysoft technical support requests

    Backup Before Updating

While ProPay WEB updates are generally safe, consider:

    1. Backing up your ProPay database before major updates
    2. Documenting custom configurations that might be affected
    3. Testing updates on a non-production server first (if available)

Most monthly updates don't require backups, but it's good practice for major version upgrades.

    After the Update

    Verify normal operation

    1. Test a few client logins
    2. Submit a test payroll entry
    3. Generate a sample report
    4. Check tax form access

    Monitor for issues

For the first few days after updating:

    • Watch for client-reported issues
    • Check system logs for errors
    • Monitor system performance
    • Address any problems quickly

    Document changes

If the update included new features:

    1. Review the release notes
    2. Inform clients about new functionality
    3. Update your internal documentation
    4. Train staff on new features if needed
