Bank Reconciliation Report

The Bank Reconciliation Report lists all payroll disbursements — paychecks, direct deposits, agency payments, and tax payments — for a specified date range. Use this report to reconcile your payroll bank account against your bank statement. You can print the report, save it as a PDF, or export it to Excel.


Accessing the Report

Method 1 — Standard Reports package

  1. The Bank Reconciliation report is included in the Standard Reports package. After printing paychecks, click Print Standard Reports — the Bank Reconciliation is part of the default package.

Method 2 — User Reports menu

  1. Go to Payroll Functions and select a client.
  2. From the Payroll Main Menu, click Reports > User Rpts.
  3. Select Bank Reconciliation from the report list.

Generating the Report

  1. Enter the Start Date and End Date for the reconciliation period.
  2. Click OK to generate the report.
  3. ProPay prompts you to choose the output format:
    • Export to Excel — creates a spreadsheet file for use in Excel or other spreadsheet software
    • Print — sends the report to print preview, then to the printer or PDF

    Report Columns

    Column Description
    Date Pay date of the transaction
    Emp No Employee number
    Name Employee name
    Gross Gross pay amount
    Net Net pay amount
    Check Check number
    Deds Total deductions withheld
    Taxes Total tax payments
    Dir Pay Direct deposit payment amount
    Manual Pay Manual check payment amount
    Bill Amt Agency bill amounts (garnishments, union dues, etc.)
    Type Payment type identifier

    Data Sources

    The report aggregates data from multiple payroll tables to give you a complete picture of all money that moved through the payroll bank account:

    • Employee paychecks — regular checks and direct deposits
    • Agency payments — garnishment and deduction payee disbursements
    • Workers' compensation payments — employer WC premium payments
    • Tax payments — federal, state, and local tax deposits

    > Tip: Export to Excel when you need to sort, filter, or annotate transactions during the reconciliation process. The spreadsheet format makes it easy to check off items as you match them to bank statement entries.


    Tips

    > Tip: Run this report monthly to catch discrepancies early. Waiting until quarter-end makes it harder to identify and resolve mismatches.

    > Tip: Compare the Net and Dir Pay columns against your bank's cleared transactions. The Check column helps you match individual check numbers to bank records.

    > Warning: This report shows what ProPay recorded. If a check was voided after the report was generated, the voided transaction still appears. Run the report after processing all voids for the period.
