Transmitting Federal EFTPS Payments

This topic explains how to transmit federal EFTPS (Electronic Federal Tax Payment System) files using the EFTPS Batch Provider software.

Overview

The EFTPS Batch Provider software allows you to import payment files from ProPay and submit them electronically to the IRS for federal tax payments.

In ProPay: Export EFTPS File

Print the report

  1. Click Client Functions > Electronic Processing > EFTPS.
  2. In the middle of the page, click Report.
  3. Click Print.
  4. Click OK.
  5. Exit via the red door.

Export the file

  1. Return to Client Functions > Electronic Processing > EFTPS.
  2. In the middle of the page, click Export.
  3. Click Yes.
  4. Write the Batch File Name on the paper you just printed.
  5. Click OK.
  6. Click Yes.

In EFTPS Batch Provider Software: Transmit Payments

Start the software

  1. Start the BPApplications software.
  2. Click Accept.

Login

  1. Enter your User ID.
  2. Enter your Password.
  3. Click Login.

Import payments

  1. Click the Payments tab.
  2. Click Import.
  3. Click Add.
  4. Go to the PROPAY26 folder.
  5. Type the batch file name from your paper.
  6. Click Open.
  7. Click OK.
  8. Wait for "process to complete" message.
  9. Click OK.

Submit payments

  1. Check that the files you just imported match the paper you printed.
  2. Highlight the files you want to submit.
  3. Click Submit.

Enter credentials

  1. Enter Batch Provider Master PIN.
  2. Enter Master Password.
  3. Click Submit.
  4. Click OK.

Print confirmation report

  1. Click the Payment Inquiry tab.
  2. Under Query, choose 220 days.
  3. Click Print (ensure the default printer is set to Reports).

File paperwork

File both papers (the ProPay report and the EFTPS confirmation) in a binder for future reference.

Important Notes

  • Keep accurate records of all batch file names and submission dates.
  • Verify that imported payments match your ProPay report before submitting.
  • Retain confirmation reports for your records and for client documentation.
