Post A/R Checks

Post accounts receivable checks that were generated by ProPay for payroll service billing.

Overview

ProPay offers multiple options for creating bills and receiving payments for payroll services. One option is generating paper checks from the client's bank account payable to you, the payroll processor. When these checks are received, they must be posted to each client's account.

How IT Works

Each time you print client payroll checks, ProPay prints an extra check payable to the payroll processor. This check is automatically entered in a separate file that tracks all A/R checks issued. When these checks are properly endorsed and received from the client, you must post them to the client's account.

Setting Up A/R Check Billing

To select this billing method:

  1. Go to Client Functions > Set-Up > Employer Setup > Screen 4 (Billing and Payment Options).
  2. Check the applicable A/R check billing option.

Posting A/R Checks

To speed up posting of received checks:

  1. Go to Client Functions > Client Billing > Bill Collect.
  2. Select Post Checks.

Post Checks Menu Options

Tag payments

Double-click any payments you wish to post. You can post several payments at once by tagging multiple items.

Post checks

  1. Click the Post Checks button.
  2. Enter the Posting date when prompted.
  3. Click OK to complete the posting.

The posting date will appear in the client's ledger as the date payment was received.

Delete checks

Delete any checks that were lost or never returned by the client. If you delete a check accidentally, it cannot be recovered from this menu. However, you can enter payments manually through Client Billing > Payments/Charges.

Report

Print a generic report if you need a hard copy of pending or posted A/R checks.

Important Notes

Only use this billing method if your client agreement allows you to generate checks from their bank account. Ensure all checks are properly endorsed before posting.
